Online booking

Can clients accept your terms and conditions and a waiver before booking online?

Yes. Add your own terms and conditions or a waiver and clients must accept them before booking online. Bella keeps the date, version and IP address.

How clients accept your terms and conditions before booking

Add your own terms and conditions or a waiver, and the last step of your booking page changes in three ways.

  1. 1On Review & book, the client sees a switch for each document: "I agree to [your business]'s terms and conditions" and "I agree to [your business]'s waiver", each linking to the document itself.
  2. 2Book appointment stays off until every switch is on, with the reason written under the button, such as "Agree to [your business]'s terms and conditions and waiver to book".
  3. 3When the client books, Bella records the agreement on their client profile.

A returning client who already agreed to the same document isn't asked again. Upload a new PDF or change the link and every client is asked once more, the next time they book; uploading the identical file again asks nobody, because the same file keeps the same link. If your terms live on your own website, Bella can't see an edit to that page, so give a new version a new link when the wording changes.

The switches are part of online booking. A client your team books in the dashboard isn't asked, and neither is a client moving an existing appointment online: they are asked when they next make a booking themselves. The rest of the booking flow is at /features/online-booking.

What Bella keeps as proof

Each agreement is stored on the client as a record that is never edited afterwards. It holds:

  • Which document it was: your terms and conditions or your waiver
  • The document the client was shown: the exact PDF, or the link
  • The date and time they agreed
  • The IP address the agreement came from

Your team finds it on the client's profile, on the Details tab under Agreements: the date, the IP address and a View link that opens the exact document. Replace a document and the row reads "earlier version" until the client agrees to the new one. A PDF you replaced stays available at its link, so the version a client agreed to can always be opened.

The record is written as part of the booking, so nobody on your team has to remember to ask, print or file anything.

How to set it up

  1. 1Open Settings > Business settings and go to Terms, privacy and waiver.
  2. 2Add your terms and conditions, your waiver, or both. Each one is a link to a page you already publish or a PDF you upload there (PDF only, up to 20 MB).
  3. 3Choose Save changes. An uploaded PDF is stored as soon as the upload finishes.

Leave the terms field empty and your booking page still has a terms page, generated from your business details, which clients aren't asked to agree to. Your privacy policy is linked where clients sign in and is never agreed to. On a multi-location account, each location has its own three documents. It all works on every plan, Solo included.

A waiver they agree to, or a form they sign?

The waiver switch is a simple agreement: the client opens your document and switches it on, with no signature. That suits a liability disclaimer, or house rules every client accepts once.

When you need answers as well as a signature, such as a medical history before laser or a consent form before injectables, use a form instead. Bella's forms have a signature field, can be sent automatically when an appointment is confirmed, and keep each submission on the client and the appointment. Forms are on the Professional plan: see /features/forms.

What to check in any booking system

If you are comparing booking software on this point, five questions sort it out quickly.

  • Can the client open the document from the booking step before agreeing?
  • Does the booking wait until they agree, or is the box only a suggestion?
  • Does the record show which version they agreed to, and when?
  • Are clients asked again when you change the document, and only then?
  • Can your team see the record on the client's profile without contacting support?

Bella keeps the record of what a client agreed to and when. Whether your terms or waiver protect you depends on their wording and the law where you trade, so have them checked by an adviser.
