How to use activity logs for salon accountability and tracking

Activity logs record every important action on appointments — who created, rescheduled, cancelled, or confirmed a booking and when. They give you a clear audit trail so you can resolve disputes, track team behaviour, and understand what happened with any appointment.

What activity logs track

Activity logging records key actions that happen to appointments throughout their lifecycle:

  • Appointment created — who created the booking and when
  • Appointment rescheduled — the original and new time, and who made the change
  • Appointment cancelled — who cancelled and the reason if provided
  • Appointment confirmed — when the client confirmed their booking
  • Notifications sent or skipped — what messages were sent and when

Each log entry includes a timestamp and identifies who performed the action. This creates an audit trail that's available from both the appointment details and the client's profile.

Why activity logs matter for salons

Resolving client disputes

When a client says "I never received a reminder" or "I didn't cancel that appointment," you can check the log. It shows exactly what notifications were sent and who cancelled the booking. This turns "he said, she said" situations into factual discussions.

Team accountability

Activity logs show who made changes and when. If appointments are being rescheduled frequently or cancelled without reason, the logs make patterns visible. This supports constructive conversations with team members about booking management.

Understanding no-shows

When a client no-shows, the activity log shows whether they were sent a reminder, whether they confirmed, and whether there were any changes to the booking before the appointment. This context helps you decide how to follow up.

How to access activity logs

From an appointment

Open any appointment on the scheduler to see its activity history. The log shows all actions in chronological order.

From a client profile

Open a client's profile and go to the Activities tab. This shows all activity across all of their appointments, giving you a complete picture of the client's booking history and interactions.

Practical uses for activity logs

  • Check if a reminder was sent before charging a no-show fee
  • Verify who rescheduled an appointment when there's confusion about the time
  • Track how often a particular client cancels or reschedules
  • Confirm that online bookings are being processed correctly
  • Review notification delivery when clients report not receiving messages

Make it a habit to check the activity log before contacting a client about a missed appointment. Having the facts in front of you leads to better conversations.

Activity logs and business notifications

Activity logs work alongside the business notifications system. While activity logs record what happened, business notifications alert you in real-time when important actions occur — like a new booking, a cancellation, or a client confirming their appointment.

Together, they give you both real-time awareness and a historical record. The notifications keep you informed as things happen; the logs let you review what happened later.
