Team Management

How to manage salon staff schedules effectively

Effective staff scheduling starts with setting default working hours for each team member, then handling variations like time off and custom hours for specific dates. The goal is ensuring online booking and your calendar always reflect accurate availability.

The basics of staff scheduling

Most salon scheduling involves three layers:

Default working hours

The regular weekly pattern for each team member—what days they work and their start/end times. This is the foundation that repeats week after week.

Custom hours for specific dates

Exceptions to the default pattern. Maybe someone works late on Thursdays during busy season, or comes in early for a special event. These override the defaults for specific dates only.

Time off

Annual leave, sick days, personal leave, or any other absence. Time off blocks availability completely for those dates.

Setting up default schedules

For each team member, define their typical week:

  • Which days they work (not everyone works Monday to Friday)
  • Start and end times for each working day
  • Break times if you want to block lunch or other gaps
  • Whether they're available for online booking or internal scheduling only

Build in realistic buffer time between appointments. If services often run over, account for that in the schedule.

Handling schedule variations

Seasonal changes

Many salons extend hours before holidays or during wedding season. Use custom hours for specific dates rather than changing default schedules you'll need to change back.

Partial days

When someone needs to leave early or start late, adjust their hours for that specific date. This prevents clients booking during times they won't be there.

Split shifts

Some team members work mornings and evenings but not afternoons. Good scheduling software lets you define multiple time blocks per day.

Managing time off

A clear process for time off prevents scheduling conflicts:

  1. 1Require advance notice (how much depends on your salon's needs)
  2. 2Check for existing appointments before approving
  3. 3Reschedule or reassign affected appointments
  4. 4Enter the time off into your system so availability updates automatically
  5. 5Track different leave types separately if needed for records

The key is ensuring time off is recorded before clients try to book those slots.

Visibility and online booking

Consider who should appear in online booking:

  • Some team members may not take online bookings (receptionists, trainees)
  • You might hide new staff until they're ready for clients
  • Availability in online booking should always match the actual schedule

If schedules aren't accurate, clients will book appointments that don't work, creating problems for everyone.

Team schedule overview

Being able to see everyone's schedule at once helps you:

  • Spot coverage gaps before they become problems
  • Balance workload across team members
  • Plan for busy periods when you need more people
  • Identify patterns in time off requests
